Adding and removing members
The day to day of team membership: invitations, seats, and changing somebody without breaking anything.
Settings → Team is the whole of it: who is in the workspace, what role they have, and whether their invitation is still outstanding.
Adding
Invite by email address and pick a role. They get a link, and appear as invited until they accept.
An invitation is tied to the address it was sent to, so it cannot be forwarded to a colleague and used. Sent to the wrong address, it has to be cancelled and sent again.
See inviting your team for the longer version.
Seats
Every member takes a seat, and outstanding invitations take one too. That surprises people: three invitations sent to addresses that were never accepted are three seats you are not using and cannot use.
Cancel invitations that have gone stale. It is the first place to look when you are out of seats and cannot see why.
Changing someone’s role
On their row, and it takes effect immediately. The one thing you cannot do is remove the last owner.
If somebody is being promoted to handle settings, give them admin rather than owner. Owner is for billing and for deleting things, and most people administering a workspace never need either.
Removing
Also on their row. Access ends immediately and the seat returns.
Their conversations stay, with their name on them. Before you remove somebody, reassign anything they are actively working on: removal does not close or reassign their chats, and one assigned to a person who no longer exists is one nobody is looking at.
Removing someone who has left covers the full order to do it in, including API keys.
Leaving yourself
You can leave a workspace you are a member of, from the same area. If you are the only owner, appoint another one first: the workspace cannot be left without one.
What members cannot do
Membership is per workspace. Somebody in one workspace has no access to another, even under the same account and the same company. If a colleague cannot see something, check which workspace they are in before anything else.
